Festival Position Preference & Availability

All volunteers must work a minimum of 3 full-time days to earn free admission. You may choose to work those days during setup, during teardown, or on the three festival days.

Select whether you would like to serve as a full-time or part-time volunteer and the dates corresponding to your availability. Shifts are approximately 4 hours, depending on the assignment. During the festival, full time volunteers can expect to work 2 shifts per day and part-time volunteers 1 shift per day. Please note: Stage Crew is a full time (12 hour/day) position only.

Festival volunteers should plan on arriving by early afternoon on Wednesday, August 14th for an orientation meeting, including department group break-outs and opportunity to meet your team leader. We recommend planning to stay the night Saturday night and depart on Sunday, since your volunteer shift may go into the evening on Saturday.

If you are selected for Setup Crew your team leader will reach out with exact on-site arrival details, dependent on your assignment. More details about serving on the Setup and Teardown Crews are listed later in this application.

Setup & Teardown Crew

Setup Crew

Our Setup Crew is a small group of volunteers who arrive early to help setup for the festival. They work in two main crews, our Stage Crew, which assists the professional stage company in building the stages for the festival, and our Grounds Crew, which sets up the rest of the festival grounds, including things like digging trenches, marking out parking spaces, unloading trucks and boxes, carrying tables and chairs, etc. There is also a third small team who serves in the kitchen as part of our catering team.

Setup Crew begins on Monday morning, Aug 12 and continues through Wednesday night August 14. Volunteer camping is available during this time period, and meals are provided while working.

Setup Crew requirements:

  • Must be 16+ years old

  • Full Time positions only

  • Must be able to lift 50 lbs (for grounds) or 75 lbs (for stage) and be comfortable with physical labor and working in the sun/heat

If you are interested in joining the Setup Crew, please select which team you would like to serve on. If None, please continue to next section.

Work begins at 11:00 PM and continues until 3:00 AM. We provide a late night snack, and volunteer camping is of course still available afterward. Teardown continues through Sunday until the the stage teardown and grounds clean up is complete.

The Teardown Crew works in three groups: Stage, Grounds, and Catering. Stage Teardown Crew works with the staging company to take down the stages, Grounds Crew removes trash, clean the grounds, helps pack up, load and transport equipment/supplies, and the Catering Crew feeds the volunteers and staff who are on site, as well as cleans the kitchen and packs up supplies and food. Volunteer camping and meals are provided for those who are working.

Is there another volunteer with whom you'd like to be scheduled?
Many of our positions are solo positions, so we aren't always able to accommodate working together, but we do our best. If possible we will at least try to keep you in similarly timed positions so that you are more likely to have common times off. If hoping to work together, it is helpful if both of you select the same department choices.

Important Information regarding volunteer camping & schedule:

1) SoulFest does not provide camping equipment for volunteers.

2) Volunteers receive space for a tent for the volunteer only, not an individual campsite. This space is a shared field alongside other volunteers.

3) Volunteers camping in volunteer camping will park their cars in a satellite lot, and must come prepared to do without their vehicle for the length of the festival.

4) You will receive your schedule of hours when you arrive at the festival, and while team leaders do their best to accommodate schedule requests, there are no guarantees.
