2025 Volunteer Application Form -

SOULFEST 2025 VOLUNTEER APPLICATION

Join the Serve First Team That Makes SoulFest So Special!

We’re so grateful for your interest in serving at SoulFest! Our Volunteer Family is a passionate community dedicated to creating a meaningful, joy-filled experience for everyone who attends. This year, we’re introducing exciting updates to make volunteering more impactful and rewarding than ever before.

What’s New?

Join Our Super Fun, Full-Time Volunteer Family!

Thank you for considering joining us! This year, we’re shifting to a “Gideon’s Army” approach, focusing on a smaller, dedicated team of full-time volunteers. By streamlining our roles into full-time positions, we can better support our volunteers, simplify operations, and serve our audience more effectively than ever.

If you’re able to commit to at least three 8-hour shifts between Wednesday and Sunday, we encourage you to apply using the form below.

New This Year: Three Delicious Meals a Day!

We value our volunteers and want to make sure you feel energized and cared for while serving. To show our appreciation, we’re now providing three delicious meals per day to keep you fueled and ready to make a difference!

Scholarship Fund for Past Part-Time Volunteers

We know that many of our past part-time volunteers used their roles to help offset ticket costs. To continue supporting you, we’re launching the Summer Time Santa Program—a scholarship fund made possible through proceeds from our MainStage Cabanas.

Key Dates:

  • June 1st – You can inquire about the scholarship and application process.
  • June 15th – The fund officially launches, and applications will open.

If you’d like more information, please email info@thesoulfest.com on June 1st for details.

Serving with Your Superpowers

God has uniquely gifted each of us, and when we serve in roles that align with our strengths, everyone benefits.

This year, we encourage you to reflect on what brings you the most joy and fulfillment—then choose a volunteer role where your gifts can shine and make a meaningful impact!

Volunteer Role Descriptions

Which role best matches your gifts and passions?

Handy with building, organizing, or fixing things?
Join the Set-Up Team before the festival or the Tear-Down Team afterward and help bring SoulFest to life—literally! From building stages to setting up tents, your skills will make everything run smoothly.

Super organized & great with people?
Be the friendly face and problem-solving pro on our Box Office Team, Guest Relations, or Merch Team! Whether you’re checking in guests, answering questions, or helping fans grab their favorite festival merch, you’ll keep the experience running seamlessly.  (choose box office or hospitality category)

Foodie extraordinaire?
Join the Hospitality Team & Volunteer Meals to help fuel our incredible team! From prepping delicious meals to making sure volunteers stay energized, your role will keep everyone going strong. (choose the hospitality or food service category below)

Warm, friendly, and great at directing people?
Help festival-goers feel at home by joining our Parking Team, Guest Greeters, or Info Booth! You’ll be the guide that helps guests find their way while spreading kindness and joy.

Lively, outgoing, and love making connections?
Be the energy that kicks off the festival experience! As a SoulFest Entrance Greeter or Table Host in Coffeehouse Tents, you’ll welcome guests with enthusiasm and create meaningful connections. (choose the hospitality team below)

Great with kids and organizing fun activities?
Bring joy to our youngest festival-goers by joining the Kids' Activities team! Whether you’re leading crafts, games, or activities, you’ll help make SoulFest a magical experience for children ages 5 and under or ages 6-12.

Strong sense of justice with a kind and humble nature?
Join the Peace Patrol and help create a safe and uplifting environment for all! You’ll be a reassuring presence, making sure everyone feels welcome and cared for.

Prefer working behind the scenes?
Support the festival in a big way by joining Festival Logistics or Inbound Email Questions! Whether you’re answering questions before the event or making sure things run smoothly behind the scenes, your work will be essential to the SoulFest experience. (choose the hospitality or volunteer support category below)

Runners (Artist & Team Transportation Support)
Do you love driving, have a dependable vehicle that seats at least five people comfortably, a valid drivers licence, and enjoy being part of the behind-the-scenes action? This could be the perfect role for you! We’re looking for friendly, flexible volunteers with reliable vans or large SUVs to help transport artists, speakers, and team members throughout the weekend. This is a fun, relational role—but it does require a calm spirit, a great sense of direction, and the ability to be on call and available when needed. You may be asked to run quick errands, shuttle guests to and from the stage or parking areas, or pick up supplies—we never fully know what will pop up, so a good sense of adventure is a plus! (choose runner team below)

Festival Position Preference & Availability

Serving with Joy & Balance

We are so grateful for each and every volunteer. Our goal is to make sure you feel valued, supported, and energized throughout your time at SoulFest. To create the best experience for everyone, we typically schedule each day into two four-hour shifts, allowing you plenty of time to enjoy the festival, connect with friends, and recharge.

Important Dates & Gatherings

Orientation will take place on Wednesday, August 13th, at 5 PM. During this time, you’ll meet with your department team, connect with your team leader, and get a chance to ask any questions about your role, so we’ll all have a clear understanding of how to serve the audience best. This is a wonderful opportunity to start the festival feeling prepared and connected.

We also encourage volunteers to stay Saturday night so we can gather for a Sunday morning debrief breakfast to celebrate all the incredible moments from the festival and express our heartfelt gratitude for your service.

What’s Your Superpower?

Our goal is to place every volunteer in a role where they can thrive and use their strengths to make the biggest impact. Before selecting your top choices, take a moment to think about what makes you shine!

How would your best friend describe you?

  1. Bubbly and outgoing
  2. Organized and detailed
  3. Wise and methodical
  4. A great connector
  5. Incredible construction or design skills
  6. Great with kids
  7. Brilliant conversationalist
  8. Incredible with numbers
  9. Wonderful at hospitality
  10. Super clean and tidy

Find Your Perfect Volunteer Role!

Now that you've identified your strengths, let’s match you with a role where you’ll make the biggest impact and have the most fun!

Please select at least three positions that interest you, listing your top priority first. Some departments have limited openings, so selecting multiple options helps us find the best fit for you.

Setup & Teardown Crew

Setup Crew

Our Setup Crew is a small group of volunteers who arrive early to help setup for the festival. They work in two main crews, our Stage Crew, which assists the professional stage company in building the stages for the festival, and our Grounds Crew, which sets up the rest of the festival grounds, including things like digging trenches, marking out parking spaces, unloading trucks and boxes, carrying tables and chairs, etc. There is also a third small team who serves in the kitchen as part of our catering team.

Setup Crew begins on Monday morning, Aug 12 and continues through Wednesday night August 14. Volunteer camping is available during this time period, and meals are provided while working.

Setup Crew requirements:

  • Must be 16+ years old

  • Full Time positions only

  • Must be able to lift 50 lbs (for grounds) or 75 lbs (for stage) and be comfortable with physical labor and working in the sun/heat

If you are interested in joining the Setup Crew, please select which team you would like to serve on. If None, please continue to next section.

Work begins at 11:00 PM and continues until 3:00 AM. We provide a late night snack, and volunteer camping is of course still available afterward. Teardown continues through Sunday until the the stage teardown and grounds clean up is complete.

The Teardown Crew works in three groups: Stage, Grounds, and Catering. Stage Teardown Crew works with the staging company to take down the stages, Grounds Crew removes trash, clean the grounds, helps pack up, load and transport equipment/supplies, and the Catering Crew feeds the volunteers and staff who are on site, as well as cleans the kitchen and packs up supplies and food.

Is there another volunteer with whom you'd like to be scheduled?
Many of our positions are solo positions, so we aren't always able to accommodate working together, but we do our best. If possible we will at least try to keep you in similarly timed positions so that you are more likely to have common times off. If hoping to work together, it is helpful if both of you select the same department choices.

Important Information regarding volunteering with SoulFest

1) If you are selected to volunteer, your team leader will personally reach out with more details, including on-site arrival instructions based on your role.

2) If you are selected, a background check will be required as part of the process. SoulFest will cover the cost, and instructions for completing it will be included in your acceptance email.

3) SoulFest does not provide camping equipment for volunteers.

4) Volunteers receive space for a tent for the volunteer only, not an individual campsite. This space is a shared field alongside other volunteers. We ask that everyone be mindful of other volunteers getting rest so the volunteer camping area is a quiet zone.  There is a volunteer hangout area and two fabulous coffee houses for talking, laughing and singing.  :-)

5) Volunteers camping in volunteer camping will park their cars in an onsite volunteer lot, and not have in and out privileges during the festival.

6) You will receive your schedule of hours when you arrive at the festival, and while team leaders do their best to accommodate schedule requests, there are no guarantees.

7) SoulFest is not responsible for any lost or stolen belongings.  We ask that you leave valuables at home or with you at all times.
